Where duplicates come from
Intuit names the usual cause directly: "Duplicates may sometimes occur when transactions automatically update from your bank after you've manually uploaded them" (Exclude duplicate transactions in QuickBooks Online). Other common sources in inherited files:
- Added instead of matched. A downloaded payment was added as a new transaction even though the invoice payment, bill payment or expense already existed in QuickBooks.
- Two paths for the same money. A payment app or store integration posts the sale, and the same money arrives again through the bank feed. Square is a common example; see recording Square payments without the integration.
- A reconnected bank account that downloads a period that was already in the books.
How to find them
Run a Transaction List by Date for the period, or open the account register, and sort by amount. Duplicates show up as the same amount and payee on the same or nearby dates. Pay attention to pairs where one side came from the bank feed and the other was typed in by hand.

Stop them in the bank feed: match, don't add
The cheapest duplicate is the one that never gets posted. When a downloaded transaction already exists in QuickBooks, match it. In Intuit's words, "Matching links your bank transactions to records you already created in QuickBooks, like invoices, receipts, and bills," and "This process keeps your books accurate and prevents duplicate entries." Categorizing is for money that isn't recorded yet: "Choose this option if you don't have an existing record. This creates a brand-new record in QuickBooks" (Match your bank and credit card transactions).
If a downloaded line repeats something already recorded, exclude it. Intuit: "Excluded transactions move to the Excluded tab. They won't be added to QuickBooks or downloaded again" (Exclude duplicate transactions in QuickBooks Online).
Deleting duplicates that are already posted
- Confirm it's a real duplicate. The bank statement should show the transaction once while QuickBooks shows it twice.
- Check whether either copy is reconciled. This decides everything that follows.
- If neither is reconciled, delete the extra copy. Keep the one linked to the bank-feed line or to the invoice or bill, and remove the loose one.
- If one is reconciled, don't just delete it. Intuit lists "A reconciled transaction was edited, deleted, voided, moved, or unreconciled" among the causes of reconciliation problems (Fix beginning balance issues when reconciling in QuickBooks Online), and about unmatching it says: "If you already reconciled the transaction you want to unmatch or change, reach out to your accountant for advice" (Unmatch or move downloaded bank transactions). Keep them from coming back
- Match before you categorize, every time a downloaded transaction could already exist.
- Don't type in by hand what the bank feed is going to download, or exclude the download when it arrives.
- Give each payment source one path into the books, either the integration or the bank feed, not both.
