Privacy Policy

CleanupLedger ("we", "us", "our") takes the financial data you share with us seriously. This policy explains what we collect, why, and how we protect it.

1. Information we collect

• Account & contact information: your email address, used to sign you in with a secure magic link and to contact you about your account.
• Financial data you provide: the QuickBooks Online export you upload, or — if and when QuickBooks connection becomes available — the data we read from your QuickBooks Online account through Intuit's official read-only connection. This may include transaction records, chart of accounts, vendor and customer names, and account balances.
• Payment information: processed securely by Polar (Polar Software, Inc.), our Merchant of Record and payment provider. We do not receive or store your card details.
• Website analytics: aggregate, privacy-respecting usage data via Cloudflare Web Analytics. This does not use cookies and does not track you across sites.

2. How we use your information

• To generate your cleanup diagnostics (books-health checks, issue counts, cleanup-hours and quote-range estimates, and client approval packets) from your bookkeeping data.
• To run your account, sign you in, and communicate with you about the service.
• To process payments (one-time diagnostics and packs) and handle refunds via Polar.
• To improve the quality and accuracy of our reports.
• Marketing: to send you product news, tips, and offers about CleanupLedger using the email address you provided when signing up (including on the Free plan). You can opt out of these marketing emails at any time using the unsubscribe link in the message or by emailing us — we will still send essential account, security, and billing messages.

We use your email address only for our own communications about CleanupLedger; we do not sell your data, we do not share your email with third parties for their own marketing, and we do not use your financial data to train third-party AI models or share it for advertising.

3. How long we keep your data

Files you upload are analyzed in memory to build your report and are not stored on our servers — once the report is generated, the uploaded file is gone. The report itself is rendered for you on the spot and is not retained by us.

If and when QuickBooks connection becomes available and you choose to connect it, we store the read-only access tokens needed to pull your data, until you disconnect or close your account. We keep basic account records (your email and your plan) while your account is active and as required for accounting and tax purposes.

You can disconnect QuickBooks or request deletion of your account data at any time by emailing us — see Section 7.

4. Who we share it with

We share data only with the service providers needed to operate, and only to the extent necessary:

• Polar (Polar Software, Inc.) — payment processing and billing, as our Merchant of Record.
• Intuit / QuickBooks — only if and when QuickBooks connection becomes available and you choose to connect your QuickBooks Online account, via Intuit's official read-only OAuth.
• Hosting and email infrastructure — to serve the website, run the app, and send your sign-in links.

We do not share your financial data with anyone other than as needed to provide the service, unless required by law.

5. Security

The website is served over HTTPS. Uploaded files are handled on access-controlled infrastructure and deleted on the schedule above. While no system can guarantee absolute security, we apply reasonable safeguards appropriate to the sensitivity of bookkeeping data.

6. International users

We serve customers internationally and process data accordingly. Payment processing is handled by Polar as our Merchant of Record. By using the service you consent to processing of your data as described in this policy.

7. Your rights

You may request access to, correction of, or deletion of the personal and financial data we hold about you. To exercise any of these rights, email hello@cleanupledger.com and we will respond promptly.

8. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
