How to Clean Up the Chart of Accounts in QuickBooks Online

A messy chart of accounts has three kinds of problems: accounts created by mistake, accounts nobody uses, and accounts of the wrong type. Merge only the mistakes, make unused accounts inactive once balance-sheet accounts are at zero, and move transactions out of wrong-type accounts. Go slowly: a merge can't be undone.

Start with a list, not with clicks

Export or print the chart of accounts and mark each account as keep, merge, make inactive, or fix the type. Look at the balance and the recent activity of every account before deciding. A list is easy to review; a string of irreversible clicks is not.

Merge only accounts created by mistake

Merging folds one account into another. Intuit is blunt about it: "Merging is permanent and can't be undone. Only merge accounts created by mistake" (Merge duplicate accounts in your chart of accounts). Two more rules from the same article:

Good candidates are true duplicates, such as two Office Supplies accounts created months apart for the same thing.

Make unused accounts inactive, and watch the balance

For accounts you simply don't need anymore, Intuit's guidance is to "Make accounts inactive instead of deleting them" (Make an account inactive on your chart of accounts in QuickBooks Online). The catch is the balance. From the same article: "before you make a balance sheet account inactive, make sure its balance is zero." "If not, QuickBooks Online creates an automatic adjustment entry to zero it out and adds it to the Opening Balance Equity account." It doesn't reverse cleanly either: "If you decide to reactivate the account, QuickBooks won't move the balance back."

Two more limits from Intuit: "You can't make default accounts inactive," and once an account is inactive, "You can't edit a transaction related to an inactive account." Finish moving transactions before you hide the account.

Leave the default accounts alone

QuickBooks creates some accounts on its own. Opening Balance Equity is one; Intuit says "This is the default account for adjustments. You can only edit the name of this account, if necessary." The Uncategorized accounts are another: "These accounts are created automatically and track money your business earned or spends that still needs to be categorized" (Manage default and special accounts). Fix wrong account types by moving the transactions

A loan booked as equity, a credit card set up as an expense account, owner draws coded to an expense: these are type problems. Move the transactions into an account of the right type, then make the wrong account inactive once its balance is zero. The line of credit showing under equity guide is a worked example.

A cleanup order that avoids surprises

  1. Categorize what's sitting in the Uncategorized accounts and in any Ask My Accountant account.
  2. Merge the true duplicates.
  3. Move transactions out of wrong-type accounts.
  4. Bring each unneeded balance-sheet account to zero, then make it inactive.
  5. Check that Opening Balance Equity didn't pick up anything new.
